📚 IAI CASE MANAGEMENT — TRAINING GUIDE
This guide covers every feature of the IAI Case Management System. Use it as a daily reference while working cases.
🔐 LOGGING IN
1. Open the app at fluffy-bubblegum-95c313.netlify.app in Chrome.
2. Enter your IAI email address and password.
3. Tap SIGN IN.
4. You will see your name and role in the top bar confirming you are logged in.
⚠ Never share your password. All actions are logged under your name.
📊 DASHBOARD
The Dashboard is your home screen. It shows:
• Total Active — all open cases not yet closed
• Active / Pending / Urgent / Closed — case counts by status
• Recent Cases — your 6 most recent active cases with quick Open buttons
• Backup Status — log showing last sync and backup activity
Tap 📂 Open on any case to go directly into that case file.
📁 ALL CASES
Shows every active and pending case across all investigators.
• Use the Search box to find a case by client name, attorney, charges, or any keyword.
• Use the Status filter to show only Active, Pending, or Urgent cases.
• Use the Investigator filter to see only your own cases.
• Tap 📂 Open to open a case and begin working.
• Tap 📋 to reassign a case to a different investigator.
📋 OPENING & UPDATING CASE INFORMATION
When you open a case, you land on the Case tab. This is where all core case details live.
Fields you can update:
• Case Number, Date Opened, Client Full Name, Cause Number
• SPN / Inmate Number, Jail / Facility Location, Bond Amount, Arresting Agency
• Attorney Name, Attorney Email, Attorney Phone, CJA Authorization #
• Court, Judge, Charges / Offense, Next Court Date
• Assigned Investigator, Status, Case Notes
To update a case:
1. Tap the field you want to change and type the new information.
2. When finished, tap 💾 Save Changes at the bottom.
3. You will see ✓ Case updated. confirming the save.
⚠ Always tap Save Changes before leaving the case or switching tabs — unsaved changes will be lost.
➕ OPENING A NEW CASE
1. Tap ➕ New Case in the top navigation.
2. Fill in all available case information. At minimum, the Client Full Name is required.
3. Assign the case to an investigator using the Assigned Investigator dropdown.
4. Set the Status — typically Active when first opened.
5. Tap 💾 Save Case.
6. The case will immediately appear in All Cases and the Dashboard.
📝 LOGGING ACTIVITY
The Activity tab tracks everything you do on a case.
1. Open the case → tap 📝 Activity tab.
2. Select the Activity Type (e.g. Witness Interview, Scene Investigation, Travel).
3. Enter the Date and a Description of what was done.
4. Tap ➕ Log Activity.
Activities are shown newest first and are included in the Case Report.
👥 ADDING WITNESSES
1. Open the case → tap 👥 Witnesses tab.
2. Enter the witness's full name, phone number, address, and relationship to the case.
3. Set Reliability (Favorable, Unfavorable, Neutral, Unknown).
4. Set Interview Status (Not Contacted, Contacted, Interviewed, etc.).
5. Add any notes about the witness's statement or cooperation.
6. Tap ➕ Add Witness.
⏱ LOGGING TIME
Time is tracked in .01 hour increments — each unit equals 6 minutes, matching CJA billing format.
Using the Timer:
1. Open a case → tap ⏱ Time tab.
2. Tap ▶ Start when you begin working.
3. Tap ⏹ Stop when done — time is automatically saved to the case.
4. Set the CJA authorized hours cap to track against your authorization limit.
Logging Time Manually:
1. Scroll down to Log Time Manually.
2. Select activity type, date, enter hours (e.g. 0.50 = 30 min), add notes.
3. Tap ⏱ Log Time.
💰 LOGGING EXPENSES
1. Open a case → tap 💰 Expenses tab.
2. Select expense type: Mileage, Filing Fee, Record Request, Court Costs, or Other.
3. For Mileage — enter miles and the system calculates the amount at the IRS rate automatically.
4. For other expenses — enter the dollar amount directly.
5. Add a description and tap ➕ Add Expense.
The running totals for Mileage, Other Expenses, and Grand Total update automatically.
📧 SUBMITTING A CASE REPORT & VOUCHER
STAGE 1 — Generate the Invoice (Internal Review Only)
1. Open a case → tap 📧 Submit tab.
2. Enter the Invoice # — your sequential billing number (e.g. 03276158).
3. Confirm the Rate Per Hour — defaults to $80.00 for MAC cases.
4. Confirm the Invoice Date — auto-fills today's date.
5. Check MAC CASE if applicable — this auto-sets the rate to $80 and will CC MAC on the attorney send.
6. Tap ⚡ Generate Invoice + Voucher — the branded invoice previews below.
7. Review the preview carefully. If any entries need correction, go back to the ⏱ Time tab → edit the entry → return to Submit → regenerate.
8. Tap 📤 Submit for Admin Review — sends the voucher ONLY to admin@iahotx.com and tonewal@yahoo.com for quality assurance.
9. Tap ⬇ Download PDF to save a branded IAI-formatted copy at any time.
⚠ The attorney does NOT receive the voucher at this stage.
STAGE 2 — Admin Approval (Dr. Walwyn or A.D. Walwyn only)
10. After reviewing and confirming all hours are correct, tap ✅ Approve & Send to Attorney.
11. The system appends the official certification statement, emails the attorney, CC's admin@iahotx.com and tonewal@yahoo.com, and automatically saves the invoice to the Invoice Archive.
12. If MAC Case is checked, emilia.brugha@mac.hctx.net is automatically added to the CC.
⚠ Never use Stage 2 until hours and entries have been verified by Dr. Walwyn or A.D. Walwyn.
🧾 INVOICE ARCHIVE
Every finalized invoice is automatically saved to the Invoice Archive the moment you click ✅ Approve & Send to Attorney. Invoices can be recalled, reprinted, and tracked at any time.
To access the Invoice Archive:
1. From the main navigation → click 🧾 Invoices tab.
2. All finalized invoices are listed with invoice number, date, client, attorney, hours, amount, and status.
To view and reprint an invoice:
1. Find the invoice → click 👁 View.
2. The full invoice text opens in a modal window.
3. Click ⬇ Download PDF to reprint the branded IAI invoice at any time.
To update invoice status:
1. Open the invoice → use the status dropdown to change from Sent → Paid or Pending.
2. Click 💾 Update Status — saved to Firebase instantly.
Filter and export:
• Filter by attorney name, status, or date range
• Stats dashboard shows Total Invoices, Total Billed, Total Paid, and Pending amounts
• Click ⬇ Export CSV for full archive export for accounting
Access restricted to: Dr. Walwyn, A.D. Walwyn, and Billing personnel only.
⚠ Earl Campbell and Ty Walwyn cannot access the Invoice Archive.
🔖 CASE STATUS GUIDE
ACTIVE — Case is open and investigation is in progress.
PENDING — Waiting on attorney instructions, court dates, or client information.
URGENT — Immediate action required. Court date approaching or attorney has flagged priority.
CLOSED — Investigation complete. Report submitted. Case moves to Inactive tab.
INACTIVE — Case is on hold or archived. Accessible under the 🗄 Inactive tab.
🧭 FIELD NAVIGATOR — MILEAGE & TRAVEL CALCULATOR
The Navigator tab is built into every case. It calculates mileage and travel time, then logs both directly into the case — no manual re-entry.
To calculate and log a trip:
1. Open the case → tap 🧭 Navigator tab.
2. The IAI HQ address (9630 Ravensworth Dr) is pre-loaded as the origin.
3. Enter your Destination address, or select one from the saved destinations dropdown (courts and jails are pre-loaded).
4. Use the ⇅ swap button to flip origin and destination if needed.
5. Select Travel Mode (Driving or Walking) and Trip Type (One-Way or Round Trip).
6. Tap 🧭 Calculate Route — mileage, travel time, and reimbursement amount will appear.
7. Tap 💾 Log to This Case — the trip is automatically saved to:
• Expenses tab — as a Mileage entry with the correct dollar amount
• Activity tab — as a Travel entry with route and time details
8. Tap 🗺 Open in Google Maps for turn-by-turn navigation to your destination.
Saved Destinations:
• All Harris County and Fort Bend courts and jails are pre-loaded.
• Tap ➕ Add Destination to save attorney offices or other frequent locations.
• Filter by Courts, Jails, Attorneys, or Other for quick access.
• Tap ↑ Origin or ↓ Dest on any saved location to load it instantly into the calculator.
⚠ Always tap Log to This Case before switching tabs — calculated routes are not saved automatically.
✏️ EDITING & DELETING ENTRIES
All case entries — activities, witnesses, evidence, interviews, time logs, expenses, and charges — can now be edited or deleted after they have been saved.
To edit an entry:
1. Open the case → go to the relevant tab (e.g. 📝 Activity, 👥 Witnesses, 💰 Expenses).
2. Find the entry you want to change — tap the ✏ Edit button on that entry.
3. The entry expands into an editable form — change any fields needed.
4. Tap 💾 Save — changes are written to Firebase immediately.
5. Tap Cancel to discard changes and return to the normal view.
To delete an entry:
1. Find the entry → tap the 🗑 Delete button.
2. A confirmation prompt will appear — tap OK to confirm.
3. The entry is permanently removed and Firebase is updated instantly.
Permission levels:
• Dr. Walwyn & A.D. Walwyn — can edit and delete any entry on any case.
• Earl Campbell — can edit and delete only entries he personally created.
⚠ Deletions are permanent and cannot be undone. Double-check before confirming.
⚡ QUICK REFERENCE — DAILY WORKFLOW
Starting your day: Log in → Check Dashboard for alerts → Open your assigned cases.
Going into the field: Open case → 🧭 Navigator → Calculate route → Log to Case → Open in Google Maps for directions.
After an interview: Log under 👥 Witnesses or 🗣 Interviews → Add activity note → Save.
Fixing a mistake: Go to the relevant tab → tap ✏ Edit on the entry → correct it → tap 💾 Save.
Updating case info: Open case → Edit fields → tap 💾 Save Changes — do not skip this step.
Adding mileage: 🧭 Navigator tab → Calculate Route → 💾 Log to This Case — mileage auto-enters Expenses.
Importing a contact list: ⏱ Time tab → Import from Contact List → paste → click Import → review entries → edit if needed.
Generating an invoice: 📧 Submit tab → enter Invoice # → ⚡ Generate → review → 📤 Submit for Admin Review.
Approving and sending: After review → ✅ Approve & Send to Attorney — invoice is emailed and auto-archived.
Reprinting an invoice: 🧾 Invoices tab → find invoice → 👁 View → ⬇ Download PDF.
Marking invoice paid: 🧾 Invoices tab → 👁 View → change status to Paid → 💾 Update Status.
Closing a case: Change status to Closed → Save Changes → Submit tab → Generate & send report.
